You can easily send attendance data from your Zoom meetings to other applications—like Google Sheets—by using the BlueSky Attendance Taker and connecting it to Zapier. Here's a step-by-step guide to set it up:
1. Install the BlueSky Attendance Taker App in Zoom
First, make sure the BlueSky Attendance Taker is installed in your Zoom account. Once installed, it will appear in the apps bar within any Zoom meeting. This app automatically tracks who joins your meetings and for how long.

2. Connect the App to Zapier
- Open the Attendance Taker inside a Zoom meeting.
- Scroll to the section labeled "Connect to Zapier" and click it.
- This will open a new window in Zapier, where you’ll start creating a new automation (Zap).
3. Set Up the Zap Trigger in Zapier
- In Zapier, search for and select Videoconference Attendance Taker by BlueSky as the app.
- Choose the trigger event: “Zoom Meeting Attendance Taker Record.”
- When prompted to connect your account, return to the BlueSky app inside Zoom.
- Copy the ID and Access Key provided.
- Paste those into Zapier to authorize the connection.
- Continue, and test the trigger to make sure it pulls in a sample attendance record.
4. Choose a Destination App (Example: Google Sheets)
Once the trigger is set, choose what you want to do with the attendance data. For example, you can send it to a Google Sheet:
- Select Google Sheets as the action app.
- Choose the event “Create Multiple Spreadsheet Rows.”
- Connect your Google account if it’s not already connected.
- First create a worksheet where you want the data to go, with a cell labeled for each type of data (eg Name, Email, Time in Meeting, Meeting Date).
- Select this spreadsheet and worksheet where you want the data to go.
5. Map the Attendance Fields
Create or select a Google Sheet with columns such as:

- Time in Meeting
- Meeting Date
Then, map each field from the attendance record to the corresponding column in your sheet:
- Display Name → Name
- Attendee Email → Email
- Time in Meeting → Time
- Timestamp → Meeting Date
Additional fields are available if you want to capture more data.
6. Test and Publish
After mapping, run a test in Zapier to make sure the data shows up correctly in your sheet. If everything looks good:
- Click Continue, then Test Step.
- Check your Google Sheet to verify the test data was added.
- Click Publish to activate your automation.
From now on, every time a Zoom meeting ends, attendance data will automatically flow into your spreadsheet (or any other app you choose). This setup saves time, reduces manual work, and ensures your records are always up to date.
